Brief description

As Manager Operations & Project Management (m/f/d) you will be joining the team of our Conceptum Logistics branch office Houston, Texas in USA. You will be responsible for the operational and financial execution of project logistics files, coordinating transport activities while maintaining strict control over documentation, costs, billing accuracy, and project delivery timelines.

Operations & Project Execution

  • Organize and execute daily operational tasks in project freight forwarding, including shipment planning, documentation, vendor coordination, booking, and execution.
  • Manage shipments end‑to‑end, from quotation and project award through transport execution, documentation, billing, and project close‑out.
  • Prepare, review, and maintain complete shipment documentation (commercial invoices, packing lists, bills of lading, letters of credit, and export documentation).
  • Monitor shipment progress, proactively manage deviations, and resolve operational issues with internal teams, clients, and vendors.

Project Management & File Ownership

  • Apply structured project management practices to logistics operations, including planning, prioritization, milestone tracking, and follow‑up across multiple concurrent projects.
  • Maintain full ownership of the project file, ensuring accuracy, completeness, and transparency throughout the project lifecycle.
  • Track timelines, deliverables, costs, and risks to ensure controlled and predictable project execution.
  • Support continuous improvement of operational and project workflows, execution standards, and documentation practices.

Financial Accountability & Cost Control

  • Maintain financial accountability for assigned project files, including cost tracking, accrual awareness, and billing completeness.
  • Review, verify, and approve carrier, vendor, and subcontractor invoices for accuracy, contractual compliance, and correct project allocation.
  • Support accurate and timely customer billing in coordination with finance and accounting teams.
  • Ensure all revenues and costs related to a shipment or project are properly captured, documented, and closed out.
  • Serve as the operational interface to accounting by providing complete, well‑maintained files suitable for audit, internal review, and intercompany settlement.

Commercial & Vendor Coordination

  • Negotiate operational details and support agreements with transportation providers and subcontractors.
  • Maintain strong working relationships with clients and vendors, address shipment issues, rate questions, and billing inquiries.
  • High school diploma or equivalent.
  • Minimum 5 years of experience in project logistics, freight forwarding operations, or a related operational role.
  • Proven experience with project freight forwarding, including heavy haul, oversized cargo, breakbulk, vessel chartering, port operations, and multimodal transport.
  • Strong understanding of operational cost structures, billing processes, and financial file accountability.
  • Excellent organizational, analytical, and problem‑solving skills with high attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and logistics/operational systems.
  • Customer‑focused mindset with the ability to manage complex, high‑value shipments.
