As Manager Operations and Project Management (future Head of Operations & Project Management) (m/f/d) for Canada, you will be joining an established regional team of project logistics professional, with a primary focus of managing the execution of Canadian project freight shipments booked both domestically and internationally. You will be responsible for implementing the company’s operational strategies and for helping to reach its financial objectives in Canada.

Your Responsibilities

  • Be the primary escalation point for all operations activities including project management, transactional shipment execution and service delivery activities across the country.
  • Develop strong working relationships with colleagues from other global Conceptum Logistics offices and provide both operational and administrative assistance on jointly handled business.
  • Communicate with suppliers, vendors, and clients daily to ensure effective and profitable execution of business solutions and customer satisfaction consistent with national objectives.
  • Assist with monthly reporting and job file closing procedures.
  • Assist with proposals and preparation of quotes for clients and other Conceptum Logistics offices.
  • Analyze and recommend appropriate pricing for Conceptum Logistics products and services by conducting market analysis, competitor analysis, profitability analysis and revenue simulations.
  • Analyze shipment volumes & revenue to determine effectiveness and profitability of pricing strategies.
  • Forecast volumes and revenues to use in financial and operational planning activities.
  • Develop and implement strategies for cost reduction, key account customer satisfaction and assist with the growth of new accounts to help achieve national business goals.
  • Maintain knowledge of changes to Canadian regulatory laws and ensure compliance with international regulations as well as all security requirements.

Your Profile

  • 7 to 10+ years’ of projects experience (preferably in the industrial sector).
  • Post-secondary degree/diploma or equivalent work experience.
  • Proven operational experience in managing the transport of out of gauge project freight by sea/land/air, as well as extensive knowledge of multimodal transport of oversize & heavy lift freight.
  • Ability to strategically solve problems and to thrive in a fast past environment that requires multitasking as well as quick decision-making skills.
  • Ability to proactively implement organizational and process change in response to business needs.
  • Strong listening, negotiation, organizational, oral, and written communication skills.
  • Ability to travel to ports and job sites throughout Canada.
  • Fluent in English (spoken and written French considered as a strong asset).

As Chartering Manager (m/w/d) you will prepare quotations and charter space for our project and breakbulk shipments at home and abroad. You will sell and develop our chartering services within the group, to our existing clients and develop new accounts.

  • Negotiate and execute charter parties / booking & fixture notes on behalf of Conceptum.
  • Assist in post fixture operations including making / checking of laytime calculations.
  • Support pricing/operations department on developing commercial proposals.

Essential Duties and Responsibilities

  • Organize and manage actively all day-to-day Accounting/Reporting, Controlling and Treasury processes in line with local/international accounting standards (IFRS) resp. group-internal guidelines defined by the Group Corporate Center
  • Responsibility to prepare annual financial statements (Actuals and Business Plan) based on IFRS and preparation of corresponding reporting packages (intercompany reconciliation included) for group reporting/consolidation purposes:
    • Monthly Reporting of Income Statement (Actuals)
    • Annual Financial Statements once a year (Actuals)
    • Business Plan (Forecast Period, Budget Year, Trendyear I, Trendyear II) once a year
  • Coordination of audit processes with an international audit company
  • Coordination of tax reporting processes with an international tax advisory firm
  • Coordination and documentation of Shareholder meetings/Shareholder resolutions
  • Assist in the preparation of enhanced/growth oriented financing options (e.g. factoring) to support an optimized working capital/cash management
  • Comply with all government/governance regulations, understand, interpret and apply rules, regulations, ordinances and federal, state as well as local legislation
  • Report to and work with local CEO and Group CFO

Your Qualifications

  • Bachelor’s degree or higher (M.Sc.) in accounting, finance, business administration, or related field;

  • Vollständige Abwicklung von weltweiten Projektverladungen (OOG, Heavy Lift, konventionelle Verladungen und Containerverladungen)
  • Verantwortung für effiziente, genaue und vollständige Bearbeitung von (Projekt-) Ausschreibungen unserer Kunden, Inhouse- und Partneranfragen
  • Subunternehmer-Management: Pflege und Ausweitung
  • Vertretung des Unternehmens bei Verkaufsgesprächen, Angebotsabklärungsgesprächen, Verhandlungen und Kick-off-Meetings
  • Umsetzung gewonnener Ausschreibungen/Angebote innerhalb unserer Organisation mit kommerzieller Verantwortung während des gesamten Projektes
  • Telefonischer und schriftlicher Kontakt mit Kunden, Lieferanten, Reedern, Terminals, Partnern und Agenten (auch international)
  • Erstellung von Transportdokumenten, ggf. auch aus Akkreditivgeschäften
  • Fakturierung der Aufträge
  • Ggf. Reisetätigkeit (Lade- und Löschüberwachung, Kick-Off Meeting etc.)

Was Sie Mitbringen

  • Eine kaufmännische Ausbildung (idealerweise Speditions- oder Schifffahrtskaufmann/-frau)
  • Mindestens erste Erfahrungen im Bereich der Projektverladung (OOG, Heavy Lift)

As Project Manager Operations (m/f/d) you organize the handling of our project shipments at home and abroad.

The Conceptum Logistics Group specialises in project logistics. We develop individual transport solutions for our customers and transport freight – no matter how large or heavy – to the most remote regions. Your tasks

– Independent handling of project orders

– Selection of optimal suppliers incl. negotiation of conditions

– Coordination of loading and unloading at all relevant trans-shipment points

– On-site cargo monitoring within the scope of projects

– Customs clearance

– Preparing all documents accompanying transport

– Acceptance and, if necessary, processing of damage reports

– Invoicing to customers

Your qualifications

– You have successfully completed training in forwarding and logistics or shipping

– Have a proven track record of breakbulk transports by sea/land/air

– Experience and Enjoyment in operative purchasing of logistics services and their negotiation

– Enjoy the handling of major international projects

– Are structured and work conscientiously

As Tender Manager (m/f/d) you will process customer enquiries and prepare quotations for our project shipments at home and abroad.

Essential Duties

  • Responsible to provide efficient, accurate, complete and effective tender proposal responses to our clients
  • Processing customer, inhouse and partner enquiries
  • Subcontractor management, maintenance and extension
  • Participation in charter requests, actively negotiate and finalize charter bookings
  • Creation and maintenance of templates, distribution lists and supplier lists
  • Develop bid/sales strategies in collaboration with senior management and support functions
  • Support pricing/operations department on developing commercial proposals
  • Follow-up of all bids and actively take part in renegotiations
  • Establish and identify room for improvement within the area of responsibility and actively support in the change process
  • Represent CONCEPTUM Logistics at sales calls, bid clarification meetings, negotiations and kick-off meetings
  • Roll out of won tenders/bids inside our organization and act as commercially responsible throughout the course of the project

Your qualifications

  • Eligible to work in Germany. No visa or other requirements needed
  • Minimum of 8 years’ experience in the shipping and/or forwarding industry, including successful completion of associated trainings in the same field
  • Proven track record in the industrial projects sector
  • Strong commercial, technical and financial acumen
  • Very detail and design oriented
  • Willingness to continually improve the quality of documents and presentations
  • Strong communication/interpersonal skills
  • Ability to develop effective working relationships at all levels
  • Vast experience in the preparation of project tenders, offers and pricing of technical assignments
  • Strong organizational skills (prioritize, plan, assign and control)
  • Team player in every aspect
  • Able to work in a multi-cultural environment
  • Strong negotiating skills
  • A reliable, committed character
  • Ability to work under pressure
